Welcome back to the two-part blog series by Parkaroma! In our last blog post, we touched on a few of the ways that you can start to enhance organization and efficiency within your business space. While we were able to cover quite a few of the things that you can do to start promoting this behavior and mentality in your workplace, we are far from done!

Today, we are going to touch on a few more things that you can do to enhance this behavior and standard. Without further ado, let’s get started.

Revise Your Filing System

Documentation and filing is a crucial part of every business. It doesn’t matter what industry you’re involved in, you want to make sure that you have thorough documentation and records to support any case that may surface. While that is something that is inevitable in the business world, you always want to make sure that your filing system isn’t a complete disaster.

It’s actually the record keeping of most businesses that can pile up and turn into a disaster of disorganization and inefficiency. For that reason, taking some time to revise the system that you have in place is something that we always suggest. Here are just a few of the ways that you could start to organize your filing system.

Separate Folders

If this isn’t something that you’re already doing, it’s time to change your ways and make it a reality. Organization starts by separating tasks and items so that you can handle them all accordingly. When it comes to paperwork, it’s really not helpful in the slightest if you’re unable to find the document that you’re looking for in a timely manner.

For that reason, we always suggest having different folders for different items. Whether you’re looking to revamp your system or you’re simply looking to increase the level of organization that is being used, start by creating a list of the folders that you absolutely need. Once you’ve done this, make sure that you have properly labeled them.

Go Through Your Files

This is, without a doubt, one of the easiest ways to start building up clutter and slowing down the filing system.

Depending on your industry, the amount of paperwork that needs to be filed and the seriousness of the records, it’s good to set a schedule that you can stick to. This will help keep records under control and ensure that each time spent thinning out records goes just a bit smoother.

Clean Your Desk

If you are someone that spends a majority of their workday at their desk, then cleaning this workspace is one of the best things that you can do. Aside from helping you stay organized, cleaning your desk can do quite a bit.

For starters, cleaning your desk can help ensure that no task gets missed or left behind. As long as you minimize the amount of clutter on your desk you should be able to quickly find all projects that are being worked on or notes that need to be managed.

Keeping a clean desk can also help with mental clarity and overall efficiency. If your desk is cluttered, it’s easy to get distracted and procrastinate on work. This is why, as a  business owner, you want to do your best to enforce a clean desk policy. Try to minimize clutter and encourage your employees to end every day with a brief cleaning of their desk.
